The automation of your guest list upload will be unique to your own Property Management System. Below you can find a description of the general process and options we have available to automate your Guest List Upload. However, before thinking about this process, you will have to meet these requirements in order to do so:
- You must be able to generate a customized report withdrawing data on your guest name, checkin/checkout, and email.
- Your PMS must be able to export data in an acceptable format such as CSV, TXT, or XLS
- You must be able to regularly export this data, in that you can schedule a report to be ran at the same time each day.
There are 3 methods to automate:
FTP – File Transfer Protocol
Utilizing a built in FTP is currently our preferred method of withdrawing your guest list to be uploaded to Revinate. The first step in this process is generating your report containing all necessary columns such as your guest email, checkin/checkout and full name. From this point you access your FTP and then assign your own unique Revinate Surveys Credentials to the FTP.
The FTP client essentially receives your guest list from the automated report in your PMS then directs it to the Revinate Surveys database to be uploaded into your account’s application.
Export via Email
If your PMS does not support a built in FTP, we also have the option to receive your report via email. Similar to FTP support, you will have to schedule your report to be run or created each day. The guest list report should be a list of the day's prior departures.
Once created, you can export the file to a Revinate email server that will then redirect the file to Revinate Surveys.
To send the file to the Surveys system, simply email the file as an attachment to the email address provided under "Email Integration" for your account. Once sent, our server will pick up the attachment, process it, and upload it to your system. You will then see it in the import log on the "Automatic Import" page.
Partnership with 3rd Party Email Client
Lastly, if both of the above options prove to be ineffective we can also embed our own survey link to your own email client. If you currently use an email provider to deliver marketing collateral or loyalty touch points with your guests, we are able to directly integrate with these parties to deliver your Revinate Surveys.
